The module marina office staff and dock staff use to manage every berth request and reservation from the first inquiry through departure.


1. What is Booking vs Request?

This module handles the full lifecycle of every request to stay at your marina. Boaters submit requests, you review them, assign berths, collect payment, and track arrivals and departures. Office staff and dock staff use it every day to keep the marina running and boaters informed.

Request vs Booking — what's the difference?

📝 A Request is a boater inquiry that needs to be reviewed and approved by the marina. Requests live under the Requests list and can be Pending, Waitlisted, Confirmed, or Declined. Think of it as the application stage.

⚓ A Booking is a fully confirmed, reserved berth. It appears under the Bookings list once a Request has been moved to Reserved — or immediately, if it was created directly as a booking (see Create Booking in Key Features). Think of it as the active reservation stage.

In short: most bookings start as a request, but a booking can also be created directly in Reserved status, skipping the request stage.

2. How to Access It

  1. Log in to your marina's Metarina account.
  2. In the left navigation, expand Reservations.
  3. Select Requests to see all incoming booking requests, or Bookings to see Reserved and Cancelled reservations.
  4. Click any row to open the full details screen.

3. Key Screens and Layout

Screen / Area What you use it for Typical daily tasks
Requests List Screen You use this screen to see all incoming requests grouped by the status tabs at the top. The tabs are All, Pending, Waitlisted, Confirmed, and Declined. Check the Pending and Waitlisted tabs first thing each morning.
Bookings List Screen You use this screen to see all Reserved and Cancelled bookings. The tabs are All, Reserved, and Cancelled. Scan upcoming arrivals and export a list for the day.
Filters Panel You use the filters to narrow either list by customer language, customer kind, checked-in status, activated status, boat size, channel, dates, or renewal status. Filter by Arrival date to see today's expected arrivals.
Search Bar You use the search bar to find a specific request or booking by customer name, boat, or reference number. Look up a boater who called in to check their status.
Request Details Screen You use this screen to review all details for a single request, take status actions, and assign a berth. Confirm a request, assign a berth, and send a payment request.
Booking Details Screen You use this screen to view the full record of a Reserved booking and manage charges and dates. Edit the booking channel, expected or actual arrival/departure time, open billing, and add a charge.
Current Berth Allocation Panel You use this panel to see which berth is assigned and to reassign it if needed. Move a boater to a different berth when they arrive.
Berth Allocation Modal You use this modal to search for and assign a berth to a request. The system ranks suitable berths automatically, and you can adjust results using Show misfit berths, Hide moves, and Hide tight fits. If the vessel needs more than one berth, use the Allocate across multiple berths link inside the modal to open the multi-berth allocator. Assign the best-fitting berth to a new Pending request before confirming it.
Requested Utilities & Services Panel You use this panel to see services requested by the boater and to accept, reject, or charge them. Accept a shore power request and add the charge.
Internal Notes Panel You use this panel to add private staff notes that boaters cannot see. Record docking preferences, payment reminders, or staff instructions.
Customer Onboarding Progress Panel You use this panel to track whether the boater has been invited, has data sync turned on, has documents on file, and has checked in. Prompt staff to send an invite or mark a customer as checked in.

4. Key Features

Feature What it does
"All" tab  (Requests) Found on the Requests List Screen. Shows all requests regardless of status. This is the default view when the Requests screen opens.
"All" tab  (Bookings) Found on the Bookings List Screen. Shows all bookings regardless of status. This is the default view when the Bookings screen opens.
Create Request  (Requests only) Found on the Requests List Screen. Manually logs a new booking request received by phone, email, or in person.
Create Booking (Bookings only) Found on the Bookings List Screen. Creates a new booking directly in Reserved status, without going through the Request stage.
Confirm Booking  (Requests only) Found on the Request Details Screen. Moves a Pending or Waitlisted request to Confirmed and optionally notifies the boater by email.
Waitlist Request  (Requests only) Found on the Request Details Screen. Moves a Pending request to Waitlisted and optionally notifies the boater they are on the waitlist.
Reserve Booking  (Requests only) Found on the Request Details Screen. Moves a Confirmed request to Reserved, meaning the booking is fully confirmed.
Decline Request  (Requests only) Found on the Request Details Screen. Rejects a request and optionally sends the boater a decline notification by email.
Reactivate Request   (Requests only) Found on the Request Details Screen. Returns a Declined request to Pending so it can be reviewed again.
Revert to Pending  (Requests only) Found on the Request Details Screen. Moves a Waitlisted request back to Pending.
Request Payment Found on both the Request Details Screen and the Booking Details Screen. Sends a payment request to the boater for the current booking.
Request Payment to Confirm (Requests only) Found on the Request Details Screen. Sends a payment request with the intent to confirm the booking once payment is received.
Add Charge Found on both the Request Details Screen and the Booking Details Screen. Adds a charge to the booking outside of the standard payment flow.
Uninvoiced Items Found on both the Request Details Screen and the Booking Details Screen. Shows all charges on the booking that have not yet been included on an invoice.
Billing Overview Found on both the Request Details Screen and the Booking Details Screen. Opens the full billing history linked to this booking.
Allocate berth Opens the berth allocator to assign a berth to a Pending, Waitlisted, or Confirmed request, or to reassign the berth on an already Reserved booking. Found on the Current Berth Allocation panel on the Request Details Screen and the Booking Details Screen.
Show misfit berths A toggle in the berth allocator that also displays berths whose dimensions don't fit the boat, in addition to suitable matches.
Hide moves A toggle in the berth allocator that hides berth options that would split the boat's stay across multiple berths or require it to change berths partway through the stay.
Hide tight fits A toggle in the berth allocator that hides berths where the boat's dimensions are very close to the berth's limits.
Create a charge for this stay A checkbox in the berth allocator, unchecked by default, that adds a charge to the booking's billing tab based on the marina's price list when the berth is allocated.
Allocate (submit) Confirms the berth selection in the allocator and completes the assignment. The button label reads "Allocate".
Allocate across multiple berths A link inside the Berth Allocation Modal for a vessel that needs more than one berth. Opens a separate allocator where you can select several berths for the same boat instead of one.
Accept / Reject Approves or declines individual service requests made by the boater. The dropdown shows two separate actions: "Accept" and "Reject".
Add Charge (from amenity accept flow) Creates a charge for an accepted service. When you click "Accept" on a requested service, the modal that opens includes an "Add Charge" option.
Internal Notes Saves private staff notes that boaters cannot see.
Email Opens a direct message to the customer from the booking or request details screen.
Export Downloads the current list as XLSX, CSV, or XML.
Booking Channel Records how the inquiry arrived: walk-in, radio, email, phone call, text message, agent, or other.
Origin Shows where the booking or request originated: Metarina (the boater self-service website), Marina Office (created by staff), or Website (a white-label secure reservation page).
Renewal Status (Bookings only) Marks the renewal outcome of a booking as Open, Renewed, or Closed / Not Interested.

5. Statuses and What They Mean

How a request moves from Pending to Reserved

Pending is a new booking request that has not yet been processed by the marina. It sits in the Requests list waiting for staff to review it.

Confirmed means the marina has accepted the request and sent a price proposal to the boater. As soon as you use Request Payment to send a payment request through Metarina, the status changes to Confirmed automatically. You can also confirm it manually by selecting Confirm from the action dropdown at the top right of the request.

Reserved means the booking is fully complete. The status moves to Reserved in two ways: you can mark it manually (select Reserve from the same dropdown after confirming), or it changes automatically when you record a payment against the payment request you sent. That payment signals that the boater has accepted the price proposal and paid, so the booking is treated as complete. Only Reserved bookings appear in the Bookings index and everything before that lives under Requests.
