The module marina staff use to manage every customer record, from contact details and boats through to billing and boater account access.


1. What are Customers?

This module holds the record for every person or company that has a relationship with your marina. You can create and update customer profiles, link them to a boater account, manage their boats, and access their full booking and billing history. Office staff use it as the starting point for almost every customer interaction.


2. How to Access It

  1. Log in to your marina's Metarina account.
  2. In the left navigation, under Accounts, select Customers.
  3. Use the search bar or filters to find the customer you need.
  4. Click the View button across from a customer's name to open their full details.

3. Key Screens and Layout

Screen / Area What you use it for Typical daily tasks
Customers List Screen You use this screen to see all customer records and search or filter the list. Search for a customer by name before a walk-in or phone call.
Search Bar You use the search bar to find a customer quickly by name. Look up a customer who called about their booking.
Filters Panel You use the filters to narrow the list by customer kind, type, language, account status, or check-in status. Filter by Checked-In to see who is currently at the marina.
Create Customer Form You use this form to add a new customer to the system. Register a new transiting boater who has just arrived.
Edit Customer Form You use this form to update a customer's contact, billing, or identification details. Add a VAT ID before generating an invoice.
Customer Details View You use this view to see the full record for one customer across all tabs. Check a customer's booking history before a renewal conversation.
Overview Tab You use this tab to see personal information, contact details, identification details, billing details, business information, and internal notes. Confirm a billing address before issuing an invoice.
Boats Tab You use this tab to see all boats linked to this customer and to add new ones. Verify a boat's dimensions before assigning a berth.
Documents Tab You use this tab to see documents uploaded by the customer and documents sent to them. Check whether insurance documents have been received.
Requests Tab You use this tab to see all booking requests linked to this customer. Review open requests before confirming availability.
Bookings Tab You use this tab to see all confirmed reservations linked to this customer. Check a customer's current reservation before check-in.
Billing Overview Tab You use this tab to open the customer's linked billing account, where their invoices and quotes live. Only shown if the customer has a billing account and you have billing permissions. Confirm whether a boater has any outstanding invoices before a renewal call.
Boater Access Tab You use this tab to manage the boater account email and data sync settings. Add an email address to invite a new customer to the boater app.
Subrental Permissions Tab You use this tab to manage which berths this customer can offer for subrental. Visible for customers with the Owner or Renter kind. Grant a berth owner permission to list their berth when they are away.
History Tab You use this tab to see a record of all changes made to this customer's details and key events. Email events include a "Regarding:" link back to the specific invoice, transaction, or receipt the email was about. Check who last updated a customer's billing address, when the record was archived, or open the invoice referenced in a sent email.

4. Key Features

Feature What it does
Create Customer Adds a new individual or business customer record to the marina.
Edit Updates a customer's personal, contact, identification, or billing details.
Archive Hides the customer from standard lists while preserving their full record. Found under the Edit dropdown.
Unarchive Restores a previously archived customer to the active list.
Export Customers Downloads the current customer list as XLSX, CSV, or XML.
Search Finds a customer by name in the Customers list.
Customer Kind Filter Narrows the list to show only customers of a selected kind such as Owner, Renter, Transit, etc.
Customer Type Filter Narrows the list to show Individual or Business customers only.
Language Filter Narrows the list by the customer's preferred language(s).
Boater Account Status Filter Narrows the list by whether the customer has an Active Account or is Pending First Login.
Checked-In Status Filter Narrows the list to show customers who are currently Checked-In or Not Checked-In.
Customer Profile Sync Filter Narrows the list by whether profile sync is Sync Enabled or Sync Disabled.
Boat Profile Sync Filter Narrows the list by whether boat sync is Sync Enabled or Sync Disabled.
Created Date Range Filter Narrows the list to customers created within a specific date range.
Show archived customers Includes archived customers in the list view.
Mark as Checked In Confirms that the customer has arrived at the marina.
Check Out Customer Removes the customer's checked-in status when they depart.
Add email Links a boater account to this customer by adding an email address. Found under Edit > Contact Details.
Edit Updates the customer's boater account settings including the linked email address. Found in the Boater Access tab.
Remove Disconnects the boater account from this customer record.
Send Invite Sends the customer an activation email so they can set up their boater account. Only available for customers who have not yet activated their account.
Customer Profile Sync Allows or blocks the customer from updating their profile details through the boater app.
Boat Profile Sync Allows or blocks the customer from updating their boat details through the boater app. Managed in the Boater Access tab.
Request Payment Sends a payment request to this customer.
Add Charge Adds a charge to this customer's billing account.
Uninvoiced Items Shows all charges for this customer that have not yet been invoiced.
Billing Overview Opens the full billing history for this customer.
Create Quote Creates a new price quote for this customer.
Email Opens a message to the customer directly from their record. Available on the customer's Overview tab.
Notes Saves internal staff notes that are only visible to marina staff. Found in the Notes section of the Overview tab.
Create boat Adds a new boat record to this customer's profile.
Add Berth Grants this customer permission to create subrental availabilities for a specific berth. Found in the Subrental Permissions tab.
Remove Permission Removes a berth from this customer's subrental permissions. Found in the Subrental Permissions tab.
Create Availability Creates a subrental absence directly from the customer's Subrental Permissions tab.
Send Email Sends the customer a request to update their profile or boat information. Found in the Boater Access tab.

5. Statuses and What They Mean

Status / Badge Meaning What you should do next
Owner (Kind) The customer owns a permanent berth at the marina. Owner-specific billing and subrental rules apply.
Renter (Kind) The customer is leasing a berth on a weekly or monthly basis. Follow long-stay procedures and check renewal status on their bookings.
Member (Kind) The customer is a member of a nautical club with special privileges. Apply member rates and rules as applicable.
Transit (Kind) The customer is a short-stay visitor. Standard transit check-in and billing procedures apply.
Guest (Kind) The customer is a guest of another marina customer. Apply guest procedures and link to the host customer if needed.
Other (Kind) The customer falls into a special category. Check the customer record for relevant context.
Individual (Type) The customer is a private person. Standard personal billing details apply.
Business (Type) The customer is a company. Company name, VAT ID, and billing recipient fields are required for invoicing.
Active Account The customer has logged into their boater account at least once. Sync and email notifications are available for this customer.
Pending First Login The customer has an email on file but has not yet logged in. Send them an activation invite if needed.
Sync: On Customer or boat profile updates from the boater app will sync to this record. No action needed unless you want to restrict updates.
Sync: Off The customer cannot update their profile or boat details through the boater app. Enable sync in the Boater Access tab if the customer should be able to update their own data.
Checked In The customer is currently at the marina. No action needed unless you need to process charges or check-out.
Not Checked In The customer is not currently at the marina. Mark as Checked In when they arrive.
Archived Customer The customer has been archived and is hidden from standard lists. Use Unarchive if the customer returns or if the archive was a mistake.
Sent (Document) A document has been sent to the customer. Follow up if no response is received within a reasonable time.
Awaiting Signature (Document) The customer has received a document that requires their signature. Follow up with the customer to complete signing.
Completed (Document) The customer has signed or completed the document. No further action is needed.
Cancelled (Document) The document process has been cancelled. Re-send the document if it is still required.
Declined (Document) The customer declined the document. Contact the customer to discuss and re-send if appropriate.
