The module marina staff use to manage reusable PDF documents and share them with boaters for review or signature.


1. What is Documents?

Documents is where you build and manage your marina's document library. You upload reusable PDFs once and things like rules and regulations, welcome guides, or payment policies and then send them to individual boaters from their customer record. The module also shows documents that boaters have uploaded to their own profiles, such as insurance certificates or boat registration. Each time a document is sent to a boater, Metarina tracks whether they viewed it, signed it, or declined it.

The document library itself (uploading, editing, archiving, and deleting templates) is available on every marina. The send-to-customer and e-signature tracking part described below is currently only available on demo/sandbox marina accounts while that feature matures, it isn't yet something that can be turned on for a live production marina.


2. How to Access It

To manage your document library:

  1. At the bottom of the left navigation, click your marina name or user icon to open the account menu. Select Marina Settings.
  2. In the settings navigation, select Outbound Documents.

To see a specific customer's documents:

  1. In the left navigation, expand Accounts, then select Customers.
  2. Open the customer's record and select the Documents tab.

3. Key Screens and Layout

Screen / Area What you use it for Typical daily tasks
Outbound Documents List (Active tab) You use this screen, found under Marina Settings > Outbound Documents, to see all active document templates uploaded to your marina, including their category. Check whether a document template exists before you need it.
Outbound Documents List (Archived tab) You use this screen to see document templates that have been archived and are no longer available. Review or restore a document that was previously removed from active use.
Upload New Document form You use this form to add a new PDF document to your marina's library. Fields include Document Name, Category, Description, and whether the document requires a signature when sent to a customer. Upload the latest version of your marina rules and regulations.
Edit Document form You use this form to update a document's name, category, description, whether it requires a signature, or to replace the attached PDF file. Update the description or replace the file after a policy revision.
Customer Documents tab (Documents from Customer section) You use this section to see files uploaded by the boater to their own profile, such as insurance or registration certificates. Confirm that a customer has a valid insurance document on file before their stay begins.
Upload Customer Document form You use this form to upload a document file to a customer's profile on behalf of the boater. Fields include Document Type and Expiry Date, in addition to the file itself. Add a scanned insurance certificate when a customer is not using the boater app.

4. Key Features

Feature What it does
Upload New Document Adds a new PDF to the marina's document library. Click Upload New Document on the library list to open the form, then click Upload Document to save.
Edit Document Updates the name, category, description, or PDF file for an existing document template.
Archive Document Hides a document from the Active list. The document can be restored at any time.
Restore Document Brings an archived document back to the Active list.
Delete Document Permanently removes a document from the library. Blocked if the document has already been sent to one or more customers; you'll see a message telling you how many customers received it.
View PDF Opens the PDF file attached to a document template in a new browser tab.
Active tab Shows all document templates that are currently live.
Archived tab Shows document templates that have been archived.
Document Name field Identifies the document within the library and in customer records.
Category field Groups documents by purpose: Rules and Regulations, Reservation Policy, Welcome Guide, Payment Policy, or Other.
Description field Provides optional context about the document's contents, visible in the library list.
Requires Signature field Marks a document template as needing the customer's signature when it's sent to them.
Upload Customer Document Lets staff upload a document file directly to a customer's profile on behalf of the boater. Requires a Document Type and Expiry Date. Accepted formats are PDF, PNG, JPG, and JPEG up to 5 MB. The form is labelled Upload Customer Document; click Upload Document to save.
Delete Customer Document Removes a document that was uploaded to a customer's profile.
Prepare to Send Request Email Sends an email to the customer asking them to upload specific documents to their profile. Requires the customer to have an email address on file.
