Where you customize the automated emails Metarina sends to boaters on your behalf.

1. What are Email Templates?

Email Templates are where you control the wording of every automated email Metarina sends to your boaters. There are 15 templates covering key events such as booking confirmations, invoices, quotes, payment requests, and payment receipts. You can customize each template's subject line, opening message, and closing message, or leave any template on Metarina's built-in default.

2. How to Access It

  1. Log in to your marina's Metarina account.
  2. At the bottom of the left navigation, click your marina name or user icon to open the account menu.
  3. Select Marina Settings.
  4. Select the Communication tab, then select Email Templates.

Email Templates list You use this screen to see all 15 automated email templates, their current status, and the actions available for each. Check which templates are customized and which are still using the Metarina default.
Email Template Preview You use this screen to view a full preview of an email template including the subject line and all content Metarina will send to the boater. Review a template before deciding whether to customize it.
Email Template Edit You use this screen to write a custom subject line, opening message, and closing message for a specific template. Update the opening message on the booking confirmation to reflect your marina's tone.

4. Key Features

Booking Confirmed Sent to the customer when you confirm their booking.
Booking Reserved Sent to the customer when you reserve a berth for them.
Booking Declined Sent to the customer when you decline their booking request.
Invoice Issued Sent to the customer when you issue and send an invoice.
Pro Forma Invoice Sent Sent to the customer when you share a pro forma invoice for review. The invoice remains a draft — it is not yet issued.
Quote Sent Sent to the customer when you send them a quote.
Customer Charges Added Sent when you add charges to a customer's account that are not linked to a booking (for example, contract or boat charges).
Stripe Online Payment Request Sent when you ask a customer to pay online for a booking through Metarina (Credit/Debit Card or SEPA Direct Debit).
SEPA Partial Online Payment Request Sent when you ask a customer to pay only part of a booking online now, with the remaining amount paid at the marina.
Direct Payment Request Sent to the customer when you request payment to be settled directly at the marina.
Reservation Reminder Sent automatically to remind the customer to complete their reservation and secure their berth.
Requested Amenity Confirmation Sent automatically to the customer when they submit an amenity request, confirming it has been received and is being reviewed.
Credit Note Sent Sent to the customer when you email them an issued credit note.
Payment Receipt Sent automatically to the customer when an online payment succeeds.
Receipt Email Sent when you manually send a receipt to the customer for a payment.
View Opens a full preview of the email template as it will appear to the boater.
Edit Opens the editor where you can customize the subject line, opening message, and closing message for a template.
Subject Optional field to replace Metarina's default subject line with your own. Personalisation tags cannot be used in the subject field.
Opening Message Rich text field for your greeting and opening paragraph. It appears before Metarina's fixed content in the email.
Closing Message Rich text field for your sign-off. It appears after Metarina's fixed content in the email.
Personalisation tags Clickable buttons that insert {{ customer_name }} or {{ marina_name }} into your Opening or Closing Message. Metarina replaces these with real data when the email is sent.
Fixed details A read-only panel in the editor showing what Metarina automatically includes in that email, such as booking dates, an invoice PDF, or a payment link.
Save Saves your custom subject, opening message, and closing message.
Cancel Discards unsaved changes and returns you to the Email Templates list.
Reset to Default Removes all customizations and restores Metarina's original default content for that template.

5. Statuses and What They Mean

Status / Badge Meaning What you should do next
Customized The template has been edited from Metarina's default content. Review the custom text periodically to confirm it is still accurate.
Default The template is using Metarina's built-in default content. Customize it if you want to add a personal message from your marina.

6. Common Tasks

  1. View any template by finding it in the Email Templates list and clicking View.
  2. Customize a template by clicking Edit, writing your opening and closing messages, and clicking Save.
  3. Add a boater's name to your message by clicking the {{ customer_name }} tag button while in the editor.
  4. Check whether a template is customized or on the default by reading the status badge in the Email Templates list.
  5. Revert a customized template to Metarina's original wording by clicking Reset to Default in the editor.
