The module marina managers use to add, manage, and control access for every staff member at the marina.
This module holds a record for every person who works at your marina. You can create employee profiles, assign roles that control what each person can do in the system, and manage their employment status and system access. Managers use it to onboard new staff, adjust permissions, and keep an accurate record of who is active at the marina.
| Screen / Area | What you use it for | Typical daily tasks |
|---|---|---|
| Employees List Screen | You use this screen to see all staff records and search or filter the list. | Find a staff member before adjusting their role or status. |
| Search Bar | You use the search bar to find a staff member quickly by name, employee code, or email address. | Look up a team member who reports an access problem. |
| Filters Panel | You use the filters to narrow the list by Employee Type, Status, Role, or archived state. | Filter by Status to see only active staff on duty. |

| Feature | What it does |
|---|---|
| Create Employee | Adds a new staff member to the marina and creates their Metarina login record at the same time. No invite or credentials are emailed automatically, use Send password reset afterward to let them set a password and sign in. If the email you enter already belongs to an existing Metarina user, only staff with the appropriate permission can link that existing account to the new employee instead of creating a duplicate. |
| Edit | Updates a staff member's personal information, job title, employee code, type, status, or role. |
| Archive employee | Removes the employee from the active list while preserving their full record and history. |
| Restore from archive | Brings a previously archived employee back to the active list. |
| Deactivate access | Blocks the employee from signing into Metarina immediately. |
| Reactivate access | Restores sign-in access for an employee whose access was previously blocked. |
| Terminate employee | Marks the employee as terminated and blocks their access automatically. |
| Reinstate employee | Changes a terminated employee's status back to active. Their access remains blocked until you explicitly reactivate it. |
| Send password reset | Sends the employee an email with a link to reset their Metarina password. Only available for employees whose access is not blocked and who have not been terminated. |
| Reset Two-Factor | A Metarina Support action that disables an employee's two-factor authentication for account recovery, after a support reason is recorded. Only available for employees who currently have 2FA enabled, and not available to typical marina staff roles. |
| Upload Document | Uploads a file (PDF, PNG, or JPG up to 5 MB) to the employee's record with a document type and expiry date. |
| Delete | Removes an uploaded document from the employee's record. |
| Save | Saves or updates internal notes about the employee. Notes are never visible to the employee. |
| Search | Finds an employee by name, employee code, or email address in the list. |
| Employee Type Filter | Narrows the list to show only employees of a selected type such as Permanent, Contractor, Temporary, or Harbormaster. |
| Status Filter | Narrows the list by the employee's current employment status. |
